Cash flow is one of the biggest worries for small trades businesses. Clear terms from the start and a simple routine for invoicing make a big difference.

Put payment terms in the quote

State what you need up front, when later payments are due and what has to be finished first. Clients are much more comfortable when they see the plan before work starts.

Explain what a deposit is for

Say what the deposit covers, such as materials ordered specially or holding the date in your diary. Customers accept it more easily when the reason is clear.

Use staged payments on bigger jobs

Tie payments to stages of the work. It protects the client and your own cash flow, and avoids a long wait for one large payment at the end.

Invoice the same day

Send an invoice as soon as a stage is finished, with your payment details and the due date. Delays in invoicing usually mean delays in being paid.

Make it easy to pay

  • Bank transfer details on every invoice.
  • A payment link or QR code where you can.
  • A clear reference so you can match payments.

Follow up politely

If a payment is late, send a short, friendly reminder quoting the invoice and date. If it is still late, call. Keep it calm and keep the record.

Know when to pause

If a payment on a stage has not been made, it is reasonable to pause work, but follow what you agreed in writing, and get advice if it is a serious dispute.

Keep records

Keep the quote, change notes, invoices and receipts together, so you can show exactly what was agreed.

On GlowUpp

GlowUpp is free to join and charges 2% of the accepted quote (capped at £250) only when a client picks you. For clients you bring through your own link, your first 3 jobs are free. Allow for it in your price. Payment terms with the client are agreed between you and them.

Show clients the job before you quote

Free profile, your own link and QR code, and a redesign of the client's own space. You only pay when a job is won.

Should I ask for a deposit?
Many tradespeople do, especially for materials, but it should be explained and agreed in writing before work starts.
How do I chase a late payment?
Send a short, friendly reminder quoting the invoice and due date, then follow up by phone. Keep records of everything.
What are staged payments?
Payments tied to stages of the work, such as materials delivered, a major stage finished and a final payment on completion.
